Produce An Accounting of Disclosures
One of the major benefits of HIPAA Guard is the ability to easily produce an accounting of disclosures at the request of a patient. During the procedure detailed below, you will be asked to link the accounting to the patient's request, so that you can document that you filled the request within the time period specified in the HIPAA Privacy Standard.

From the Home Launch Pad, click the View Patient Status button.

Find the patient. (If the patient isn't in the database, there will be nothing to view!)
To view patient demographics, click the Demographics button.
View the Patient Status Window.

Click your mouse in either the pane on the left titled Disclosures or the pane on the right titled Disclosure Accounting Requests.

Click the Print button.

On the [Select Accounting Request for Report] window, there will likely be only one request. Select it, or, if multiple requests, select the request that this accounting will fulfill.

The [Accounting of Disclosure] set up window will be displayed.

Complete the information requested on the window.

When you check the box Print Official Accounting to be given to Patient, the options on the right side of the window are activated.

The default for the Official Accounting is to exclude Authorized Disclosures, and to exclude any disclosure that has been marked "Suspend /Except from Accounting" on the OTHER INFO tab of the Disclosure Entry window.

When you check the box Flag Request as Complete, HIPAA Guard will mark the patient's request for which this accounting is being made, as having been completed, and will enter the date completed. This action documents your compliance with the time constraints for producing the disclosure accounting.

The Entity button is displayed for those organizations that track more than one covered entity with HIPAA Guard.

If the disclosure is to include all covered entities, check the box, All Entities.

If only a single entity is involved, and it is not the entity displayed in the title bar of the [Accounting of Disclosures] window, then click the Entity button. A list of all covered entities is displayed. Select the relevant entity from the list.

When you are ready, click the Print button. The report will be printed and you will be returned to the [Patient HIPAA Privacy Status] window.
