Clinic Fee Schedules

Summary

If you are providing services from multiple clinics, and need to charge different fees for services, depending upon the clinic at which the services are provided, the software offers the ability to set up separate fee schedules by clinic.

A clinic fee schedule can be established for Employer Services, Workers Comp, Private Practice, or any combination. However, there are two caveats. First, you can only have one fee schedule devoted to a particular clinic, and thus only one fee for a particular service for a particular clinic. If you want to price both Employer Services and Workers Comp services by clinic, for example, then the prices must be the same for each service, regardless of the type of bill. This is why it is referred to as a "uniform" clinic fee schedule.

The second caveat is that the clinic fee schedule is always set up for medical activity codes, not CPT codes, even if it is going to be used for Workers Comp or Private Practice charges. This does not have any practical impact, because you can see both medical activity and CPT codes when you are setting it up.

  • Steps to set up a clinic fee schedule

    1. On the Home Nav Bar, click Setup/Admin.

    2. Click Billing Setup.

    3. Click the Clinic Fee Schedules button.

    4. Type in the clinic code, or click the lookup button to select the clinic, then click OK.

    5. Search for and select an activity to update.

    6. In the field marked, Current Charge, enter the fee for this service for this clinic schedule.

      -OR-

    7. If the fee will go into effect at a future date, enter it in the Future override fee field. Then enter the date when the fee goes into effect. the program will automatically start using the fee on that date. Future dates will not be displayed on the [Provider Network Fee Schedule] window, only current ones. When effective date fees are entered, a process must be carried out after the effective date to move the future fee into the current fee field, clearing out the future fee for the next round of updates.     8. Click OK to save the fee. You will be returned to the [Uniform Clinic Fee Schedule] window.

    9. Repeat steps 3 through 5 for each fee, to enter the fees for all the items on your list.

    10. Click Close to close the window.

  • Print the fee schedule

    To print the fee schedule, click the Print button in the lower right side of the [Uniform Clinic Fee Schedule] locator window.
