System Options Organization Tab

If you haven't already done so, please read the Overview of Organizational Units topic before setting up the items on this tab!

Tracking a Single Covered Entity

  1. From the Home Launch Pad, click the SYSTEM ADMINISTRATION tab.

  2. Click the Set System Options button.

  3. Click the ORGANIZATION tab on the [Set Up HIPAA Guard Program Options] window. The window below will be displayed.

  1. Check the box Use Departmental Tracking within Covered Entity.

  2. For each unit that you will use, enter the label associated with that unit. Keep in mind:

    • Offices are linked to Departments.

    • Departments are linked to Divisions.

Therefore, if you are only going to use one unit, use Office. You may re-label it whatever you like. If you are going to use two units, use Office and Department.

  1. Click OK to return to the Launch Pad.

  2. Set up your other organizational codes: Division, Department, Office and Point of Service Location codes on the SYSTEM ADMINISTRATION tab.

Tracking Multiple Covered Entities

  1. From the Home Launch Pad, click the SYSTEM ADMINISTRATION tab.

  2. Click the Set System Options button.

  3. Click the ORGANIZATION tab on the [Set Up HIPAA Guard Program Options] window. The window below will be displayed.

  1. Check the box Use Regional Tracking for Covered Entities.

  2. For each unit that you will use, enter the label associated with that unit. Keep in mind:

There are no hierarchical relationships among these organizational units. You will link a single covered entity to each one of these units independently of the others.

  1. Click OK to return to the Launch Pad.

  2. Set up your other organizational codes: Complex, District and Region codes on the SYSTEM ADMINISTRATION tab.
