Patient Chart: Scheduling Tab

This tab displays a list of all appointments scheduled for the patient. It is often used as a reference when an patient calls to change or cancel an appointment, or to verify that the person has been scheduled for an exposure follow-up protocol. Regardless of how an appointment was scheduled, the program will display all appointments on this tab. The appointments may have been scheduled via the Appointment Calendar, a follow-up treatment protocol, or they may have been manually entered.

The columns of the Scheduling tab are explained below:

Column Description
Date

Date of the scheduled appointment

Code

The company code. (Displays only if you have licensed the software to track data for more than one organization, or if you have licensed the Special Populations function.)

Category The visit category code for the appointment
Purpose Description of the visit category (i.e. the code description that is set up when you set up visit categories)
Provider The provider with whom the appointment is scheduled

Status

Identifies the status of the appointment as:

  • Scheduled

  • Reminded

  • No Show

  • Canceled

If you send letters to patients to remind them when certain activities are due, such as TB skin tests or Hep B immunizations, the program will include the reminder on the Scheduling tab. It will be displayed as an appointment that has no visit category or provider associated with it; the Status will display as Reminded.

The best way to schedule appointments is to use the Appointment Calendar, if you have licensed that option, because it displays the open time slots by Provider or Clinician. If you don't have that option, the next best approach is to use the Month-At-A-Glance calendar. The last approach is to schedule the appointment in the Employee Chart, on this Scheduling tab.

For either of the last two options, you will need to first schedule the appointment in a paper appointment book, as there is no way to tell what times are available for open appointments without using the software Appointment Calendar or a paper appointment book.

Document a Scheduled Appointment on the View Chart Scheduling tab

  1. Select Add from the bottom of the window.

  2. The Enter Scheduling window opens

  3. In Date, type the date of the appointment (defaults to current date)

  4. Select the Category magnifying glass to open the Select Visit Category Code.

  5. Select the appropriate category and click Select

  6. Back on the Enter Scheduling window

  7. If applicable, enter a Clinician and/or Physician.

  8. Click the Notes tab and enter any information relevant to this appointment.

  9. Select Save to return to the Scheduling tab on the view Patient Chart window.

Change a Scheduled Appointment on the View Chart Scheduling Tab

  1. Search for and highlight the appointment you wish to review or change.

  2. Select Edit

  3. The Enter Scheduling window opens

  4. Add or modify scheduling information as necessary.

  5. Select Save.

Delete a Scheduled Appointment

  1. Search for and highlight the appointment you wish to delete.

  2. Select Delete.

  3. A pop-up window asks "Are you sure you want to delete the highlighted record?"

  4. Select Yes or No

    1. If No, you are returned to the Scheduling tab of the View Patient Chart window

    2. If Yes, the appointment is deleted from the Scheduling tab of the View Patient Chart window

Use Delete only if the appointment was entered in error. If the appointment has been canceled or is a no show, record this as the appointment's Status.

Filter the List of Appointments

To help you find visits, you can filter the list in two ways:

  • To filter by Provider, click the table icon beside Filter by Provider. Search for and select to provider you want, then click OK.

  • To filter by date, enter a From date and a Thru date. Entering just a From date will show all appointments on or after that date. Entering just a Thru date will show all appointments on or before that date.

You can filter by more than one field at a time.

To remove a filter, highlight the entry in the relevant field, then hit the Delete key on your keyboard.
