Month-At-A-Glance
Summary
Month-At-A-Glance is a calendar whose primary purpose is to display a list of employees who have been administered a service, such as an immunization, that has multiple steps or doses. This calendar lists patients for whom a Next Due Date Date the employee is due for a particular medical activity is in the schedule file. This calendar is included in your software unless you licensed the optional Appointment Calendar module. This is a very convenient function for Next Due Dates, and not convenient for appointments, since it was not designed to be an appointment calendar.
The Month At A Glance calendar is sorted by date, not by Provider. The Appointment Calendar module is a view of the same Schedule File, sorted by Date and Provider, and looks like an appointment book. Document an Appointment Scheduled in an Appointment Book

First, make the appointment in your paper or electronic calendar.

From the CLINIC tab of the Home Nav Bar, click Month At A Glance.

Select the desired date from the calendar

Click the Add button.

Search for and select the appropriate employee, or add employee to the database. [Employee Scheduling By Date]

Type in the code for the desired visit category and press the TAB key
OR
Click the magnifying glass icon to the right of the Category field. Search for and select the appropriate visit category.
If this is a New Incident visit or Follow-up Incident visit, the program will prompt you to either create a new incident record, or link this appointment/visit to a previous incident.

Select Clinician and/or Physician

To add a note to the schedule record:

Click the NOTES tab.

Add the note.

Click Save.
Document a Cancellation or No Show

From the Launch Pad, click Month At A Glance. Click today's date.

Highlight the desired schedule, right-click the mouse, and select Change to open the record.

Click the down-arrow to the right of the Status field.

Select the appropriate status from the drop-down list (no other options are available other than those on the list).

If desired, make a NEW appointment for the Employee or patient. DO NOT SIMPLY CHANGE THE DATE on this appointment! If you do, you will lose the fact that this appointment was canceled or the employee did not show!

If the employee walked out AFTER their visit was logged, mark the visit record a Walk-Out, not a cancellation!
Re-book an Appointment to a Different Day
Document the original schedule as a Cancellation or No Show. See instructions above.
If you want to re-book the appointment, follow the instructions above to Document An Appointment Scheduled in an Appointment Book.
If the original schedule is NOT a Cancellation or No Show, re-book the schedule by simply changing the date and time on the existing Schedule Record. (You could do this for a Cancellation or No Show as well, but you would not then be able to track or report the Cancellations and No Shows.)
Print the Schedule for a Specific Date

Select the REPORTS tab on the Home Nav Bar.

Click the Scheduling by Date button.

Enter the desired date in both the From and Thru Date fields.

Click the Save button.
To get specific clinic reports, click the Select Organization button and un-check the "Report across all clinics" box
