Appointment and Visit Status Codes

Summary

For all appointments and visits, the program includes a list of status codes that are used to alert you to appointments that have been canceled or for which the patient was a no show.

Visits records and Appointment records have similar status codes. However, the words do not mean the same thing! Be careful to distinguish between the two!

Status Codes for Appointments

The status codes for an appointment are selected from a drop down list that is in the upper right corner of the appointment record. The codes and their meaning are defined below:

Status Dropdown Items Description
Scheduled The patient has made an appointment but has not come for the visit.
Reminded

The patient has been sent a reminder notice for this appointment or Next Due date.

No Show The patient did not show up for the appointment.
Canceled The patient canceled the appointment in advance of its starting time. The application provide a field to enter the Cancellation reason if available.
Walk-Out The patient signed in but walked out.
Pending The patient has been checked into the clinic (has arrived), but the visit has not yet been completed.
Completed The patient has been checked in and out of the clinic. The visit is over.

It is common for hospital employee health departments to send employees reminders that a service is due, such as a HBV shot, but no appointment is made. If you send a reminder, the reminder will be displayed on the Scheduling tab of the Patient Chart.

The Status Codes for Visits

Status Items Descriptions
Pending The visit is completed, but some or all results are outstanding or not yet entered into the software.
Completed The patient has been seen and all visits results have been entered into the program.
Walk-Out The patient left the clinic before the visit was completed.
