Clockwise.MD
The Clockwise.MD integration allows patients to schedule a set time for an appointment in Net Health Employee Health and Occupational Medicine by using the Clockwise.MD portal. This is achieved using preset updates between Clockwise.MD and Net Health Employee Health and Occupational Medicine to determine schedule availability based on the number of rooms, providers, and existing scheduled appointments at a given time. Updates from Net Health Employee Health and Occupational Medicine to Clockwise.MD are scheduled to occur every 60 seconds. Several process changes may be required by Net Health Employee Health and Occupational Medicine users to ensure correct management of patient appointments:
Initial Implementation
- Clockwise.MD sends Net Health Employee Health and Occupational Medicine actual appointments, not appointment requests. When an appointment is received, Net Health Employee Health and Occupational Medicine will try to match the patient with an existing patient record by using the Patient First and Last Name, as well as the Patient Date of Birth. If there is no match based on that criteria, Net Health Employee Health and Occupational Medicine will add the patient as a new patient. During the patient check-in process, Net Health Employee Health and Occupational Medicine users need to validate the patient using a variety of demographic information to ensure the patient is truly new or if the patient entered incorrect information. For example, patients may enter an abbreviated name instead of their full name which may be how they are known to the clinic.
- When the patient schedules an appointment through Clockwise.MD, they are required to pick a reason for the visit (i.e. a visit category). The reason "pick-list" on Clockwise.MD may not be totally clear to the patient; so, it is advisable during patient check-in for the clinic personnel to confirm the reason for the visit. Also, before the installation of the Clockwise.MD interface, the client will need to decide which visit categories will display in Clockwise.MD and then adjust their respective descriptions in a way that is more patient friendly.
- Clockwise.MD is an effective way for patients to schedule appointments, but Net Health Employee Health and Occupational Medicine should be used to manage the appointments. Once a patient is checked-in, clinic personnel should not use Clockwise.MD to delete an appointment. If an appointment is deleted after check-in in Clockwise.MD, the user will have to manually delete both the visit as well as the appointment within Net Health Employee Health and Occupational Medicine.
- Changes to appointments through Net Health Employee Health and Occupational Medicine (deletes or movement on the Whiteboard) are propagated to Clockwise.MD.
- For Work Comp visits or for Employer Service visits, the Net Health Employee Health and Occupational Medicine user needs to select the employee's company at the time of check-in. If not, the Net Health Employee Health and Occupational Medicine user will have to go through the "Correct Entity Function" to enter the company.
- If your clinic wants to track "walk-in" visits within Net Health Employee Health and Occupational Medicine, it needs to be done within Net Health Employee Health and Occupational Medicine after the check-in process. Users will need to open the visit and go to the Audit tab and check the "Walk-in" check box.
Post Implementation
- If a client needs to add a provider or a visit category after the initial roll-out, they must first do the add within Net Health Employee Health and Occupational Medicine and then repeat the same in Clockwise.MD. Names, descriptions, etc. must be exactly the same between Net Health Employee Health and Occupational Medicine and Clockwise.MD in order for the addition to work properly.
- If a client needs to change a provider name, they must first make the change within Net Health Employee Health and Occupational Medicine and then repeat the same in Clockwise.MD. Names must be exactly the same between Net Health Employee Health and Occupational Medicine and Clockwise.MD in order for the change to work properly.
- When adding or changing providers, names, descriptions, etc., there can be no duplicates.
