How to Make Codes Inactive

Summary

Once any code has been used in a patient’s record, it cannot be deleted. If a code has never been used, it may be deleted and should be deleted, if it is not wanted. While codes cannot be deleted, they can be taken out of active use by marking them as inactive. During visit entry, incident entry and or entry of other functions, inactive codes and entities will not be includeded on the lookup browse lists, so that users cannot select them. The codes will continue to be displayed on screens and reports in places where they have been used in the past.

Inactive codes WILL still be listed in the code "setup" window, so that users with access to code setup and maintenance will see the codes are on the tables, but inactive, and will not try to enter add the code a second time.

Codes which can be marked inactive are Medical Conditions, Body Parts, Severity Codes, Event Types, Reason or Causes, Root Causes, Work Activities, Objects or Substances, Sharps Devices, First Response Codes, Billing Service Types, Adjustment Codes, Denial Reason Codes, Sales Groups and Sales Classes. Other entities include Departments, Divisions, Job Classes, Work Locations, Regions, Districts and Complex organization codes, providers, bill and referral physicians, clinics, companies and all other master entity codes.
