Billing and Collection Notes

Summary

The application has a Billing Notes Button designed to give users access to the Billing Notes window located on the Clinic Whiteboard and Appointments windows. A Patient Inquiry Button is located on the Insurance tab of the Enter Visit window and on the Pay on Account window for Private Practice only. The Patient Inquiry window allows A/R, Unbilled Charges, Bill Notes and Insurance to be accessed.

This creates a central repository of Patient Billing and Collection Notes that can be accessed and updated from both the Billing and Clinical programs.

In the Billing Module this is available from the following windows:

  • Void

  • Rebill

  • Correct Invoices

  • Create Credit Memo

  • Create Debit Memo

  • Apply Payment To Invoice

  • Void or Refund

  • Cash Correction Wizard

  • Adjust an Invoice

The access to the Collections and A/R Patient Inquiries are based on the security for those screens in existing Billing security parameters.

Using Patient Inquiry to View Billing Notes

From the Enter Visit window

Select the Insurance tab (this tab is only seen for Private Practice patients).

Select Patient Inquiry

The Patient Inquiry window opens

Select the Bill Notes tab

On the Bill Notes tab

Highlight an item or select Add (to add a new note) or edit (to edit an existing note)

The Edit Billing Notes for (Patient) opens

Add a new note or Edit an existing one

Select Save

You are returned to the Patient Inquiry window

Select Done

Additional Screens to Access Patient Inquiry to Add or Edit Billing Notes

Pay On Account

From the Home Nav bar

Select Pay on Account

Select Edit to view existing payment

Select Add to enter a new payment

The Enter On Account Payment for (patient name) window opens

Patient Inquiry is at the bottom of the window

[Patient Inquiry] screens via Clinic access.

Primary Insurance information is in the top margin. The Family Guarantor shown is the one for the Primary Insurance and not the general patient one shown on the Insurance tab.

If a line on the A/R tab is double-clicked, the line item may be viewed in more detail.

Double clicking on a Bill Note line or highlighting that line and selecting Edit will display the following window.
